Minutes of the Meeting of July 12, 2006

The regular meeting of the Board of Trustees was called to order by Dr. Darter at 5 p.m. Trustee Chairman Dr. Darter, Lynda Burton, and Bonnie Long were present, as were Friends of the Library representative Kleo Mini and Library Director Larry Hlavsa.

A motion to approve the consent items was seconded and passed. Minutes of the meeting of June 14th were approved.

Library Director’s Report

Tweed Trust Subcommittee Report. The subcommittee of Bonnie Long and Lynda Burton met in June and brought forth to the full board a recommendation that the Wood Trust framework be utilized to administer the Tweed Trust funds. Section 5, “Additions” of the Wood Trust administrative resolution, St. Helena City Council Resolution No. 98-65, specifically allows such additions by the trustees. Following discussion, Resolution No. 2006-05, UTILIZING WOOD TRUST FRAMEWORK FOR ADMINISTRATION OF TWEED TRUST FUNDS FOR ST. HELENA PUBLIC LIBRARY was moved and seconded. The resolution was passed 3-0 and the library director was asked to prepare a City Council resolution requesting implementation of this resolution. If moving Tweed Trust funds into the Wood Trust is not approved, the City Council will be asked to form a subcommittee of two members of the City Council and two members of the Library Board to create an administrative document for the Tweed Trust. The Library Director informed the trustees that the resolution would be prepared and brought to the City Council at its meeting on July 25, 2006.

DiscoverStations Update. The contract with UserFul, Inc. of Calgary, Alberta, Canada was approved by the City Council and installation is set for July 24-25, 2006. All public Internet workstations will be replaced by DiscoverStation workstations. Public Internet access will not be available on July 25th due to the installation.

New photocopier/printer. A coin-operated Savin 8025P combo photocopier/printer is being purchased to replace our existing eight year old photocopier. The Savin comes with Linux drivers allowing it to function with our new DiscoverStations. Installation is expected in August.

New staff member. Kaitlyn Toronto will be our new Library Assistant I. Kaitlyn has a BFA degree and experience in three public libraries. Kaitlyn will replace Barbara Hellwig who retires on July 31, 2006. Kaitlyn will begin work on July 24th.

Page & Moris Interior Re-Design Project. The Friends have tabled a resolution from the library director requesting funds for this project at their last two meetings. The $17,800 cost seems to be the biggest issue for the Friends. After discussion, Dr. Darter volunteered to speak to the Friends at their August meeting to discuss the importance of this project and the appropriateness of funding of it by the Friends.

AWE Early Literacy Workstations. Two computer workstations filled with educational games and software for early learners have been installed in the Children’s Room. Both machines are already receiving heavy usage. The Friends of the St. Helena Library provided funding for these workstations.

Wireless at the Library. “Wireless” capability for the public to access the Internet on their laptops at the Library has been installed by Randy Fischer. Official announcement of this new service will come in August, but unofficially, customers have already found it and are utilizing the service.
